Now for the fun to begin! You veterans will notice a lot of changes in pace, agenda and training. All for the better we hope. For you noobs, get ready for a week you’ll never forget. Networking. Training. Engagement. And, fun. But most of all, we hope you walk away this week with the tools you need to make your store’s Q4 a success.

REGISTRATION QUESTIONS

Where is Conference being held?

The meeting will be held from August 14th to August 17th at The Venetian Convention Center

Who is attending the meeting?

All GameStop Associates that hold a Store Leader, Store Leader 2, Store Leader Coach position, or higher by the close of registration by Wednesday, July 7, 2023.

When can I register?

Wednesday, June 14 to Friday, July 7.

What are the arrival dates?

Arrivals are as follows:

Thursday, August 10 by 4:00 pm: Core Event Team

Friday, August 11: Remaining Event Team

Monday, August 14 by 4:00 pm: SSC, SL, SL2, SL Coach position(s)

Will we receive an email confirmation from the registration website? 

Once you complete your conference registration, an email will automatically be sent to you from support@exposent.com. Please note that this email is an acknowledgment of your registration for the 2023 Store Leader Conference in Las Vegas. A final confirmation will be sent to you closer to the Conference date (you will bring this final confirmation with you on-site to pickup your badge.)

HOTEL & TRANSPORTATION QUESTIONS

Do I make my own flight arrangements?

Yes, Coupa Travel will empower you to book your own flight to and from Conference. This site has been created with specific parameters in place to help you secure the most cost-effective flight based on your preference. Please note that only flights within $100 of the lowest available fare will be available to book. Conference flights will automatically be charged to our meeting card. Only attendees who have completed their registration will have access to the Coupa site to book travel for Conference.

Will I be charged if I change my flight?

Yes. If an attendee elects to change their travel information after the ticket has been issued, any change fees will be the responsibility of the traveler. However, you have 24 hours from the time of issue to change without a penalty. Please contact Coupa directly if you need to change your travel arrangements. You will need to call the Egencia phone number at the very bottom of your itinerary.

Will all flight itineraries be sent out electronically?

Associates will be able to view flight information under “Travel & Expense” in Coupa. This is accessible from the POS, personal computer or mobile device.

*Please download the airline app associated with your flight to stay up to date if the airline makes any changes – delays and gate changes.

What if I would like to be on the same flight as a colleague?

If you would like to travel with a colleague(s), we highly recommend travel buddies register and book their flight on the same day to ensure the flight is available. Expenses related to flight changes to match a travel buddy will be the responsibility of the traveler and will NOT be covered by GameStop. Please make sure to check with your travel buddy before booking. 

Do I make my own hotel reservations?

No, your hotel reservations will be made for you once you complete your online registration.

What if I have a preferred roommate?

Attendees below Director level are required to share a room at Conference and must room with someone of the same gender (with the exception of attendees that are married or share the same home address on file on Workday). During registration, you will have the opportunity to select your preferred roommate.

If you choose not to select a roommate, the GameStop Meetings & Travel team will assign one for you.

The deadline to select a roommate is July 7, 2023. If you have not selected a roommate by this date, one will be assigned to you.

PLEASE NOTE: Selecting a roommate does NOT mean the request is confirmed. Unless you received a registration confirmation, in addition to a roommate confirmation, you are NOT registered!

May I bring a guest to the conference?

Our policy prohibits friends and family members from attending the conference during conference days/times; all attendees MUST stay at the conference hotel during our dates as assigned. Our goal is to maintain the integrity of the conference and make sure that all attendees are 100% focused on networking with peers, education, and vendor training. We have created these rules in order to make them fair to all attendees.

If family or friends choose to vacation with you before or after the conference, they must depart the day conference begins and may not arrive until the day of all departures.

How will I receive correspondence prior to the meeting?

We will send out meeting communications via Main Menu and email. We will use the email you provide during the registration process. Please make sure to check your email for any new information and updates.

I plan on Driving – Can you provide more details on this process?

Any attendees within 200 miles of Las Vegas are expected to drive.

i. Mileage will be reimbursed at $.56 per mile.

ii. If you are more than 200 miles from Las Vegas and elect to drive, please get approval from your supervisor, in this situation mileage will be reimbursed up to 600 miles.

iii. To expense mileage, please submit through Coupa within 30 days of the event.

iv. Only the driver is eligible for reimbursement, Attendees who carpool are NOT eligible for expense reimbursement.

v. Please be sure to email Store Ops Events and Engagement on your POS to let us know that you were cleared to drive so we can assist with your parking directions.

Does GameStop have any Travel Partners?

YES – Southwest!

Will transportation be provided to and from the airport and hotel?

Yes, shuttles will be provided for GameStop attendees.

  • Monday August 14th – 8am to 5pm every 30 minutes
  • Thursday August 17th – 4am to 3pm every 30 minutes

When you arrive at Harry Reid International airport (formerly McCarran) in Las Vegas, proceed to your baggage claim area. We will have staff members at baggage claim holding a GameStop Logo Sign. Let them know you’re with GameStop and they’ll give you instructions. If you are unable to locate anyone in baggage claim holding a GameStop Logo sign, please call (725) 777-5998

Note: These shuttles have been pre-paid for you and include greeters at the airport, baggage handling, transportation and tips. If you elect to not use this service when you arrive, other forms of transportation are not a reimbursable expense. However, if you arrive outside of the scheduled shuttle times you can expense (as normal business travel to your region) an Uber, Lyft, or cab to get you to your hotel. 

Will I need a rental car?

Rental cars are not needed

How do I check-in?

We will have a Satellite Hotel Check-in in the Convention Center near the Badge Pick Up in the Foyer on Level 2 of the Venetian Convention Center

*We will offer complimentary bag storage

Where and how much is parking?

Are all of the scheduled events mandatory?

Yes. All attendees are required to attend every scheduled session and event. However, if you do not eat breakfast – It’s optional. No attendee is excused from any scheduled General Session, Vendor Training Room, Expo or Regional breakout. 

How will dinner-on-your-own and breakfast –on-your-own be arranged this year?

You will be given a MasterCard gift card to use for 1 dinner and 1 breakfast on your own. Like in previous years, you’ll receive an $80 gift card. These gift cards are accepted at any restaurant that accepts MasterCard. District Leaders will be given a MasterCard gift card to cover their district dinner.

I wish we had more time to see Las Vegas...

If you would like more time to experience the conference city, you’re welcome to take advantage of “Stay & Play” aka vacation before or after conference. If you’re going to Stay-n-Play at Conference, please remember that while GameStop is covering the airfare – you’re responsible for all other charges during the additional stay including transportation from the airport, hotel, etc.

GENERAL QUESTIONS

Will I be eligible to receive the gifts vendors promise at Conference?

To show appreciation for your team’s continued support, our vendor partners may choose to distribute product samples during Conference. There may also be announcements made at Conference about upcoming sales incentives to be sent upon the launch of particular titles/products.

Please note that attendance at Conference is not a guarantee of receiving future sales incentives. When post-Conference sales incentives are sent out, only those Associates who are in a Store Leader or Field Leader role at the time of product distribution will be eligible recipients.

It is also important to keep in mind that reselling any company merchandise/vendor gifts on the internet or through any other means for profit is prohibited.

If I purchase large items at the 2023 Store Leader Conference Store on the Floor, how do I get those items home?

We’re actually working on a new plan for GameStop Gear this year that will help with shipping. More details coming soon!

Is there a Conference App?

You will receive a Magic Link via your registration email on Monday, August 7th at 9:00am CST that will allow you access to the event.

**If you do not see your new Magic Link in your email’s inbox, please check your spam/junk folder in your email account as it may have been swept there.

Do you have any TRAVEL TIPS?

Of Course!

Some of you are seasoned travelers and for some, this could be your first flight. Either way, see below for some great tips to help make your travel a little easier.

  • Take pictures of all your documents and put them on a locked site like DropBox that you can access from any computer. (Passport, IDs, ticket numbers, reservations, etc. That way if you lose them AND your computer or phone, you won’t be totally screwed.)
  • Stock up on zip-lock bags. Place your liquids in zip-locks before you pack them. That way, if they spill, your suitcase isn’t’ covered in shampoo.
  • Take a pic of where you parked your car at the airport. After a long trip, your memory will almost always fail you.
  • Put a unique marker on your suitcase so you can recognize it easily when it comes around on the baggage carousel.
  • If your flight neighbor won’t stop talking, pretend to sleep. Ear buds work well too!
How do I let you know I have a Medical Note or Special Request?

This year, all medical notes & special requests must be sent to AskHR@GameStop.com on or before the close of registration on Friday, July 7th, 2023! Any requests made after the July 7th deadline will not be accepted.
